Plan a welcome board that fits the venue, stand and guest viewing distance while keeping names, dates and directions easy to read.

A welcome board is often the first printed item guests see at a wedding, corporate function, product launch or registration area. The board must fit its easel, remain stable in the intended location and present the essential event details clearly. Choose the board size from the display space

A3 or compact board

Useful for tabletop directions, small registration desks or close-view notices. Check that it will not be hidden by flowers, brochures or counter equipment.

A2 welcome board

A practical starting point for intimate functions, small entrances and compact easels where guests approach from nearby.

A1 welcome board

A popular planning size for event entrances because it gives more room for names, date, venue details and decorative artwork.

A0 or custom board

Useful for larger halls, sponsor displays or a board viewed from farther away. Confirm transport, stand compatibility and venue access before ordering.

Match the easel to the board

The board and easel function as one display. A stand that is too small can place the board too low or provide insufficient support; a very large stand may visually overwhelm a compact board. Confirm the board's width, height, thickness and weight against the stand specification.

  • Check the stand's supported board dimensions before selecting the print size.
  • Confirm whether the board rests on a ledge, clips into position or needs another support method.
  • Keep the centre of the message near normal eye level for approaching guests.
  • Test stability on the actual floor surface, especially near doors or air-conditioning airflow.
  • Do not place an indoor easel where wind, rain or crowd movement could make the display unsafe.
Current product options: The live poster-board selector lists black or wooden easel choices for compatible foam-board sizes, while other boards show only accessories configured for that material. Choose the board first and rely on the live selector for available combinations.

Welcome board artwork hierarchy

A guest should understand the board within a few seconds. Use a clear order:

  1. Welcome message or event name as the primary headline.
  2. Names, organisation or occasion as the main identifying information.
  3. Date and venue where relevant.
  4. Direction, room or registration instruction if the board also guides guests.
  5. Hashtag, QR code or sponsor marks only when they support the event objective.

Avoid shrinking essential information to make space for decorative elements. If the design includes several sponsor logos, establish minimum logo sizes and a consistent alignment.

Typography and viewing distance

Script lettering can create an elegant look, but highly decorative type may become difficult to read from the entrance. Use it selectively for names or short headings and pair it with a clear typeface for dates, locations and directions. Strong contrast between text and background matters more than the number of colours used.

Photo, floral and branded backgrounds

Wedding and celebration boards

Keep floral borders and portraits clear of trim edges. Check that pale lettering remains visible over photographs and textured backgrounds.

Corporate event boards

Use approved brand colours and logo files. Leave enough quiet space so the event title and registration direction remain dominant.

Product launches

Use high-resolution product images and avoid placing key features behind foreground décor or likely guest positions.

Directional welcome boards

Make arrows and room names large. Verify the arrow direction against the final placement before approving artwork.

Print-ready artwork checklist

  • Use the exact final board size and orientation.
  • Add the bleed specified in the current template.
  • Keep names, logos, dates and borders inside the safe area.
  • Use CMYK artwork and check image resolution at output size.
  • Outline or package fonts according to the submission guide.
  • Check spelling of personal names, event dates and venue names carefully.
  • Test every QR code from the final PDF at approximately printed size.
  • Export a print-ready PDF and inspect the page dimensions before upload.

Delivery and event-day planning

Rigid boards need careful handling and may not suit ordinary parcel delivery. The current product page directs rigid-board orders toward self-collection or local delivery options within KL and Selangor, depending on the order. What is a good welcome board size?

Is foam board suitable for an easel?

Foam board is lightweight and commonly used for indoor easel displays. Select only a stand option shown as compatible with the chosen board size.
