Print representative pages before deciding. Convert colour charts to grayscale and check whether categories remain understandable. If colour carries safety or instructional meaning, do not remove it simply to reduce cost.

Wire-O or perfect binding?

Wire-O binding

Useful for manuals that should open flatter on a desk, workstation or training table. Pages turn fully around the wire, but the punched edge needs a wider inner margin.

Perfect binding

Provides a square spine and book-like appearance for substantial manuals. Inner margins need clearance because the book does not open completely flat.

Saddle stitch

Can suit shorter handbooks or session notes when page count and paper work with folded-sheet construction.

Loose or filed documents

Useful when sections change frequently, but page organisation and replacement control become especially important.

Plan the manual structure

Users should find a procedure quickly. Build a clear hierarchy before layout:

Count every PDF page, including covers, dividers and intentional blanks. Saddle-stitched documents typically need a page structure compatible with folded sheets, while Wire-O and perfect-bound products have their own minimum and maximum extents.

Forms, checklists and note areas

If participants will write in the manual, print a 100% scale sample and test typical pens. Provide adequate line spacing, checkbox size and margins. Avoid placing writable fields too close to Wire-O punching or a perfect-bound gutter.
