Common Cover Artwork vs Personalised Data

Common Artwork The logo, colours, background and fixed wording remain the same on every notebook in the order.
Variable Personalisation The selected number or other confirmed field changes on each notebook according to the supplied Excel list.
Variable-data positions must be clearly marked in the artwork. The Excel column heading should match the corresponding artwork placeholder.

Use a clear heading such as Number, Name, Department or Code.

Plain Data No Formulas or Formatting

Enter plain text or numbers without colours, formulas or decorative formatting.

Check every spelling, number and code before uploading. The variable-data output will follow the submitted Excel information.

Artwork and Variable-Data Guidelines

Submit the final notebook artwork and Excel personalisation list together.

Recommended File Format
  • PDF is the preferred final artwork format.
  • AI files are also accepted.
  • Use one final artwork file per order item.
  • Combine multiple related files into one ZIP file.
A5 Size and Orientation
  • Prepare artwork for A5 portrait, 148 × 210mm finished size.
  • Use the official hard-cover Wire-O template.
  • Confirm the left-side binding direction unless another direction has been approved.
Bleed and Trim Safe Area
  • Add 3mm bleed when artwork reaches the edge.
  • Extend backgrounds fully through the bleed.
  • Keep important text and logos at least 5mm inside trim edges.
Wire-O Binding Margin
  • Leave at least 15mm clear on the binding side.
  • Keep names, numbers, logos and QR codes away from the punched-hole area.
  • Apply the correct binding clearance to every relevant page.
Colour, Resolution and Fonts
  • Prepare cover artwork in CMYK.
  • Use approximately 300-DPI images at final size.
  • Outline or embed all fonts.
  • Embed linked images before exporting.
Variable-Data Position
  • Clearly mark where the number or other confirmed variable field should appear.
  • Show the required font, size, alignment and colour.
  • Ensure the Excel column heading matches the artwork placeholder.
  • Allow sufficient space for the longest entry.
Excel Personalisation List
  • Provide one row for each notebook ordered.
  • Use clear column headings.
  • Do not use formulas, merged cells, colours or special formatting.

Cover and Inner Files
