Current ID Card Product Specifications

The specifications below match the currently indexed order fields. Select the card size, quantity per name, printing sides, PVC material, Spot UV option, hole punching and production schedule before uploading print-ready artwork.

Material-name check: The public page identifies this as a PVC card, but the exact thickness and material label should follow the current Material Type dropdown. Do not copy the 0.76mm specification from the Membership Card product unless the ID Card material is confirmed to be the same stock.
Printed identification only: A printed QR code, barcode or access-level label does not make the card an RFID, NFC, magnetic-stripe, MIFARE or electronically encoded access card. Smart-card functionality must be quoted and supplied as a separate product or service.

How Each Product Option Affects the Finished ID Card

Sizes Use the current CR80 template at 85.5mm × 54mm. Prepare the artwork at final size with 3mm bleed when the background reaches the edge.
Quantity of Cards per Name Enter the number of identical copies needed for each person. One person, photograph and data record counts as one unique name set.
Full Color Printing Single Sided Upload only the front print artwork when the back of the card does not require printing.
Full Color Printing Both Sided Upload separate front and back artwork. Keep the orientation and reading direction consistent across both files.
Material Type Select the PVC card material currently displayed in the calculator. Confirm the thickness before stating a numerical value in the CMS.
Spot UV — Not Required Choose this for standard full-colour card printing without selective raised gloss areas.
Spot UV — Front Only Apply selective gloss to approved front-side elements such as a logo, pattern or title. A separate Spot UV mask is required.
Spot UV — Front and Back Supply separate Spot UV masks for both sides. Avoid placing Spot UV over photographs, barcodes, QR codes or very small variable text.
Hole Punch — Required or Not Required Select the required option and keep names, photos, logos and codes clear of the punch area. Confirm the punch position before production.
Production Time should follow the schedule selected in the calculator. Variable data checking, photo matching, Spot UV masks and hole-punch confirmation must be completed before the production countdown begins.

ID Cards and Membership Cards Are Different Products

Both products use a credit-card-style format, but they serve different ordering and finishing needs. Keep the pages separate so they do not compete for the same search intent.

Photo and Variable Data Printing

Personalised ID cards may use a common background design while changing the photograph, name, department, ID number, barcode or QR code for each card.

Employee or Student NameUse final spelling and capitalisation in the Excel or CSV file.
Profile Photograph Supply a clear, cropped JPG or PNG at approximately 300 DPI. Match every filename to a unique person or ID number.
Department and Job Title Keep titles concise enough to fit the approved text area without reducing readability.
ID or Serial Number Preserve leading zeros by formatting number columns as text before exporting the data file.
Barcode State the required barcode type and encoded value. Test a printed sample with the intended scanner before a larger order.
QR Code Provide the final URL or encoded text. Leave sufficient white space and test the actual printed card before bulk production.
Recommended data structure: one row equals one unique card. Use clear headings such as Name, Department, Position, Staff ID, QR Value, Barcode Value and Photo Filename.

Spot UV Artwork Requirements

Spot UV is a selective glossy highlight, not a security feature. It should be used on fixed design elements rather than changing personal data.

Separate Mask File Supply a separate front or back mask corresponding exactly to the selected Spot UV sides.
Solid Black Artwork Use 100% black to indicate the areas receiving gloss. Do not use colour, transparency, shadows or gradients in the mask.
Fixed Elements Only Use Spot UV for a logo, border, pattern or fixed heading. Avoid changing names, photos, serial numbers, barcodes and QR codes.
Allow Registration Tolerance Avoid extremely fine outlines and tiny details where slight alignment variation between colour and gloss would be visible.
Front and Back Masks Label the files clearly as SpotUV-Front and SpotUV-Back when gloss is selected on both sides.
Confirm Before Production Review the final mask position together with the print artwork before approving production.

Printed ID cards support visual identification only. Do not describe them as secure access-control credentials unless a compatible encoded chip, magnetic stripe or electronic system is included in the confirmed order.

ID Card Artwork and Data Preparation

Upload print-ready artwork. Image Magic performs a basic preflight for size, margin, alignment and colour setup; the customer remains responsible for the final design, spelling, personal data, photo matching, barcode values and QR-code destinations.

Card Artwork File
  • Recommended format: print-ready PDF or AI.
  • Use the selected 85.5mm × 54mm card template.
  • Add 3mm bleed when the background reaches the edge.
  • Keep important text and logos approximately 3–5mm inside the edge.
  • Outline or embed every font.
Colour and Images
  • Prepare print artwork in CMYK where possible.
  • Supply photographs as clear JPG or PNG files.
  • Use approximately 300 DPI at the final printed size.
  • Avoid very dark, blurred or heavily compressed profile photos.
  • Do not enlarge low-resolution images taken from messaging apps.
Excel or CSV Data File
  • Use one row for each unique person.
  • Use clear column headings.
  • Format ID numbers and barcode values as text to preserve leading zeros.
  • Remove hidden rows, formulas and unused worksheets.
  • Proofread every field before uploading.
Photo File Naming
  • Name every photo using a unique staff, student or record ID.
  • Use the same identifier in the spreadsheet Photo Filename column.
  • Avoid duplicate filenames and generic names such as image1.jpg.
  • Place all photos in one clearly labelled folder before creating the ZIP file.
Barcode and QR Code Data
  • State the barcode symbology when a barcode is required.
  • Supply the final encoded value, not a screenshot of the code.
  • Confirm that QR destinations are active and final.
  • Test a printed sample using the intended device or scanner.
Hole-Punch Safe Area
  • Confirm the punch position before production.
  • Keep photos, names, logos, codes and important text away from the punch zone.
  • Do not place Spot UV over the hole area.
  • Check that portrait and landscape layouts suit the intended clip or lanyard.
Multiple Print-Ready Card Files
  • ZIP all individual print-ready PDFs into one upload when every card is already prepared.
  • Separate front and back files clearly.
  • Use consistent filenames so each front can be matched to the correct back.
  • Do not upload incomplete draft files together with approved artwork.
Personal Data and Approval
  • Submit only data you are authorised to use and print.
  • Avoid including unnecessary personal or sensitive information.
  • Use a secure file-transfer method for staff and student data.
  • Review and approve the final merged proof before production.

Frequently Asked Questions

What size are the ID cards?
The current artwork guideline uses the standard CR80 card size of 85.5mm × 54mm, with 3mm bleed when artwork extends to the edge.
Can every card have a different name and photograph?
Yes. Supply one row per person in Excel or CSV and match each photo filename to a unique record.
Can I order only one ID card?
The current page promotes no minimum order and the calculator uses quantity per name. Confirm the live minimum and production schedule before placing an urgent order.
Can Spot UV be applied over a photograph or QR code?
It is safer to keep Spot UV on fixed logos, borders and patterns. Avoid photographs, barcodes, QR codes and changing personal data because gloss and layer registration may affect readability.
Does a printed QR code make the card an access card?
No. A printed code carries visual or scannable information only. Electronic door access requires a compatible encoded card and access control system.
Are lanyards and holders included?
They are not shown as standard ID Card calculator options. Order lanyards or holders separately or confirm the required accessories before submitting the card order.
How should I provide variable data?
Use an Excel or CSV file with clear headings and one row per card. Provide photos in a ZIP folder with filenames that match a unique ID.
How long does production take?
Use the Production Time selected in the live calculator. The schedule begins after the artwork, personal data, photos, Spot UV masks and hole-punch position have been confirmed.
