How an Index Rubber Stamp Works

Traditional Hand Stamp

Press the rubber surface onto a separate ink pad before stamping the document.

External Ink Pad Required

Unlike self-inking stamps, the Index Stamp does not contain an internal ink pad.

Custom Rubber Artwork

The rubber impression can contain supplied text, company details, numbering or suitable logo artwork.

Simple Replacement Workflow

When the external ink pad becomes dry or worn, replace the pad without replacing the rubber stamp itself.

Select the size according to the actual artwork layout rather than choosing a generic Small, Medium or Large description. Longer wording, addresses and logos generally require more imprint area.

What Can Be Put on the Stamp?

Common Office Wording

PAID, RECEIVED, APPROVED, COPY, CANCELLED, CONFIDENTIAL or other supplied wording.

Company Information

Company name, registration details, telephone number, address or departmental information.

Suitable Logo Artwork

A simplified high-contrast logo can be reproduced when the Artwork with Logo option is selected.

Reference Wording

Department names, filing instructions, document status or other repeated administrative text.

Numbers and Codes

Fixed reference numbers or codes may be included as part of the engraved artwork.

Custom Layout

Arrange text and suitable graphic elements within the selected imprint dimensions.

Common office phrases are examples only. Do not describe every phrase as ready stock unless those exact stamps are physically stocked and available for immediate sale.

Ink Before Each Impression

Press the rubber plate evenly onto a suitable stamp pad before stamping the document.

Ink Pad Sold Separately

Order a separate stamp pad when one is required for your application.

Because the ink pad is separate, the same hand stamp can be used with a suitable compatible stamp-pad colour without changing the engraved rubber artwork.

Artwork Preparation Guidelines

Submit simple, high-contrast vector artwork suitable for rubber-stamp reproduction.

File Format

AI or PDF vector artwork is recommended.
Submit one final artwork file per order item.
Artwork dimensions must match the selected stamp size.
Convert all fonts to outlines.

Black & White Artwork

Prepare artwork in solid black and white only.
Do not use colour or greyscale.
Do not use gradients, shadows or textures.
Black represents the area that will form the stamp impression.

Text & Line Thickness

Recommended minimum text size is approximately 6pt.
Minimum line thickness is approximately 0.3pt.
Use sufficient spacing between letters and lines.
Avoid extremely fine details that may fill with ink.

Logo Artwork

Vector logo artwork is recommended.
Simplify highly detailed or photographic logos.
Avoid very small reversed text and thin lines.
Select Artwork with Logo when the design contains a logo.

Artwork Check

Image Magic may perform a basic technical check for size, layout, line thickness and clarity.
Minor technical adjustments may be made where necessary.
Customers remain responsible for spelling, company details and supplied wording.

Submission Timing

Upload artwork before 5:00 PM where possible.
Late artwork may affect production and delivery.
If Upload Later is selected, include the order number when submitting artwork later.
